Tags

Coloured labels that gather related documents, wherever they live.

A tag is a coloured label you put on your documents: a client, a project, a quarter, a status. A folder says where a document lives, and a document is in exactly one; tags say what it is about, so one document can carry several, and a tag can gather documents from different folders and teams. Tagging never moves anything.

Your tags are yours alone. Tagging a team document marks it for you, not for the rest of the team, and nobody else ever sees your tags.

Tagging a document

Open a document's menu (its ⋯ button, or a right-click) anywhere in the Explorer or the editor's Explorer panel, and choose Tags. The tag picker opens in its place:

  • Tick a tag to put it on the document, untick it to take it off. Each tick saves at once; there is nothing to confirm.
  • Type to find a tag. When what you typed matches no tag, Create "…" makes a new tag with that name and puts it on the document. Pressing Enter does the same, or ticks the tag whose name you typed exactly.
  • The swatch at the end of a row changes that tag's colour.
  • Manage Tags opens the Tags page.

The arrow keys move between the field and the tags, Space or Enter ticks one, and Escape closes the picker.

A document shared with you can't be tagged: it lives in its owner's library. You can tag your own documents, your teams' documents and the documents in this browser.

Seeing your tags

A tagged document shows its tags as small coloured chips beside its name, in the list, card and details views alike. Two show at most; +2 (and so on) names the rest when you hover it. Click a chip to see every document with that tag. In the editor's Explorer panel the rows are narrower, so a tagged document shows coloured dots instead.

The Tags page

Tags sits in the sidebar's More group. It opens the Tags page, and expands to a row for each of your tags with how many documents carry it.

The Tags page shows one section per tag, alphabetically: the tag, how many documents carry it, and its documents underneath, newest first, in the list, card or details view. A document with two tags appears under both. Click a tag's name, or its row in the sidebar, to see that tag on its own.

Making and managing tags

  • New Tag, at the top of the Tags page, makes a tag with a name and a colour. You can also make one straight from the tag picker.
  • A tag's ⋯ menu (on its section, or at the top of its own page) offers Rename, Change Colour and Delete.
  • Deleting a tag takes it off every document. The documents themselves stay where they are. It can't be undone, so you are asked first.

Names are up to 32 characters, and each of your tags needs its own name (ignoring capitals). Colours come from the same picker as everywhere else, and standard colours adjust for dark mode. You can have up to 100 tags.

Tags made while you were a guest come with you when you sign up; one with the same name as a tag you already had joins it.
